Once you select the database, use the following options for revising, entering and editing records:

 

Go to a specific record.
Enter in the box the number of the record you want to retrieve and press
 Enter

Go to the first record of the database

Go to the previous record

Go to the next record

Go to the last record of the database

Allows you to change the way you browse the records, be it consecutive through the MFN or through a set of search results.

Presents an alphabetic list of the records according to the terms identified in the main entry, as defined in the FDT.

Allows you to apply search expressions over the database to select records. Once they are retrieved, they can be displayed, and modified using the available entry sheets.

Use this option to create new records in the database. If you have defined different types of records, a list will appear from which to select the type of record you require.

Allows you to capture the records from another database

Allows you to capture the records from other databases, using the Z39.50 protocol

To edit the current record. If the record is being updated by another user, a message will appear indicating this fact, and the editing request won`t be activated.

The records are locked during the data entry process in order to protect unwanted updating of data. This is to avoid simultaneous editing by another user. When the record is updated, it becomes unlocked and made available for the rest of the users.

If the updating cycle doesn`t finish, that is, if the record doesn`t get any data or if the updating is cancelled (buttons Save or Cancel in the toolbar), the record remains locked for all other users for some time (4 hours).

There are two ways to unlock a record before the mentioned time expires:

  1. The user who locked the record can free (or unlock) it by either updating, editing or cancelling its editing.

  2. Using the option “Unlock records” available in the menu Utilities in the tool bar. Only the System Administrator or the Administrator of the Database has access to this option.

Delete the current record

Allows the creation of output products. Accesses the database, be it by record number or through search expressions. To display the records you can use any of the existing formats, or create new display formats. The results can be displayed on the screen or sent to a word processor.

Administrative functions (exporting, importing, global changes, unlocking database and records)

Presents the options for generating statistics about the database

Validate a record: If a format for validating a record was defined as part of the structure of the database, a link to apply the validation format will appear in order to detect possible inconsistencies made during the data entry process of the record.

Menu of output formats 

The display formats (PFT) prepared by the Database Administrator are shown in this menu. The additional formats are shown at the end of the list:

  • Without format, which indicates that the fields are going to be shown in a table, tagged with the tags defined in the FDT

  • All, which shows the record without any editing. This is the equivalent to the format ALL of the CDS/Isis structures

The additional data entry sheets defined by the Database Administrator are shown. When an entry sheet is selected, this one will remain active so that the following records can be created and edited.
